Inbox Management
Turning an overflowing inbox into an organised system — with faster response times and nothing important missed.
Overview
Objective: reduce email response times and improve organisation.
A busy inbox quietly eats hours every week. Important messages get buried, replies are delayed, and the same questions are answered from scratch again and again.
The challenge
- Hundreds of unread emails with no clear priorities
- Slow replies to clients and partners
- Time lost searching for past conversations and attachments
Approach
I started by reviewing a few weeks of email to understand what came in, who it came from, and what actually needed my client’s attention.
From there I set up a simple system:
- Labels and folders for clients, finance, projects and follow-ups
- Filters and rules to sort newsletters, receipts and notifications automatically
- Reply templates for the questions that came up most often
- A daily triage routine — urgent items flagged, routine replies handled, everything else filed
Outcome
- Faster, more consistent replies to clients and partners
- A clean inbox where priorities are visible at a glance
- Hours back every week for my client to focus on their business
